The Department of Education (DepEd) has issued a memorandum outlining the importance of a structured risk management plan to prepare for the upcoming assessment day. A key component of this initiative is conducting a thorough technical run and an assessment-day simulation to identify and resolve potential challenges before the actual test date.
Technical Run: Ensuring System and Power Stability
Schools are required to conduct a technical run at least two weeks before their scheduled assessment date. This involves assessing the readiness of devices, internet connectivity, and power sources. The following steps should be followed:

Click here to open TAO Diagnostic Tool
Device Specifications & Internet Connectivity Test
Ensure all devices are set up and powered on.
Use the Tao Diagnostic Tool to assess system performance.
Record results, identifying devices that do not meet specifications.
Simulated Power Outage Test
Ensure all devices are fully charged and backup power sources are functional.
Simulate a power outage and observe system responses.
Document observations and troubleshoot any failures.
Report Findings & Address Issues
Schools must fill out the Weekly Readiness Monitoring Form, noting network disruptions, device failures, and power backup performance.
Implement necessary improvements based on findings.
Assessment-Day Simulation: Preparing for Various Scenarios
To enhance preparedness, schools must conduct an assessment-day simulation, evaluating responses to potential disruptions. The School Division Offices (SDOs) will observe and assess school readiness. The simulation includes the following scenarios:
1. Power Outage
Ensure functional backup power sources and emergency communication channels.
Maintain order and activate backup power as needed.
If power remains out, reschedule or relocate students.
2. Network Disruptions/Webpage Not Loading
Test primary and backup network connections.
Restart network equipment if needed and notify technical support.
Document the incident and adjust contingency plans accordingly.
3. Sudden Device Shutdown
Ensure spare devices are readily available.
Restore student progress using cloud-based features where applicable.
Report and troubleshoot device failures.
4. Student Health/Wellness Complaints
Designate a wellness area and have first aid kits on hand.
Assess students’ conditions and provide necessary support.
Record health incidents for future improvements in school health protocols.
5. Natural Disasters (Earthquake, Volcanic Eruption, etc.)
Conduct disaster preparedness drills and ensure emergency supplies are available.
Follow established evacuation procedures.
Determine if the exam can continue or requires rescheduling.
Post-Simulation Debriefing and Reporting
Following the simulation, SDOs will conduct debriefing sessions to assess the effectiveness of responses. Schools must submit a comprehensive report using the Assessment-Day Simulation Report Form (link).
Final Reminders
Any additional instructions will be provided through regional focal persons. For inquiries, schools may contact the Technical Working Group (TWG) Secretariat via the Office of the Undersecretary for Operations at (02) 8633-7242 or asec.ops@deped.gov.ph.
By diligently following these guidelines, schools can ensure a smooth and efficient assessment day, prioritizing both student success and safety.
